Group Settings Options

Overview

You can enable several options when creating a Group or later by editing it in your Amplify People database. These options are based on features available in the database and are designed to increase interaction within your Community and allow members to connect with each other.

Before You Begin

Ensure you have access to the Groups module and understand basic group creation steps. If you’re new to Groups, start with the basics of Creating Groups.

 

Steps

Understand Group Feature Icons

On the Groups screen, the Settings and Actions columns include helpful icons with tooltips so you can quickly identify which features are enabled for a Group.

Icon Guide:

  • Groups-Attendance-Enabled-Icon.png Attendance-Enabled-IconIndividual Attendance allows staff or volunteers to take attendance digitally for people. Useful for small groups and gatherings.
  • Groups-Check-In-Enabled-Icon.png Check-In-Enabled-IconCheck-In is enabled. Print name badges or check-in receipts with security codes as needed.
  • Groups-Group-Finder-Enabled-Icon.png Group-Finder-Enabled-Icon → This Group appears in the Group Finder, which can be embedded on your website or accessed via the integrated Mobile App.
  • Pencil-Edit-Icon.png Pencil-Edit-Icon → Opens the Group Settings screen to manage Group Information, Check-In, Attendance, and more.
  • Groups-Clone-Group-Icon.png Clone-Group-Icon → Clone (duplicate) a Group to save time when creating similar groups.

 

Edit Group Settings

Click the Pencil icon from the Groups List screen to edit a Group. The screen contains three sections:

  • Group Information
  • Attendance and Check-In
  • Properties and Settings

Configure Group Information

  • Group Name: Appears on the Group List page and throughout the software. Use clear, concise naming conventions.
  • Group Image: New!! Upload an image to represent the group. Drag and drop a file or click choose file. Images must be under 5MB and in PNG or JPEG format.
  • Choose Leader(s): Assign leaders who can manage attendance, communication, and more.
  • Description: Briefly describe the group’s purpose. Visible publicly if the group appears in Group Finder.
  • Address & Meeting Time: Optional fields for visibility in Group Finder and Check-In scheduling.

Pro-Tip: A group image helps personalize the experience and makes it easier for your Community to identify groups visually.
 

 

Set Attendance and Check-In Options

  • Track Individual Attendance: Toggle on to record attendance for each member.
  • Recording Absences: Choose from three absence settings when individual attendance is enabled.
  • Use for Check-In: Toggle on to enable Check-In via web, app, or kiosk.
  • Label Format & Exceptions: Configure name tags and security labels.
  • Check-In Visibility: Control when the group appears for Check-In (always or based on meeting time).
    • Important: Check-In Visibility options (when Groups appear within Check-In, and for whom) are subject to any Check-In Station Settings in place.

Manage Group Properties and Finder Settings

  • Group Properties: Apply customizable tags for filtering, reporting, and Check-In control.
  • Group Finder Options:
    • Allow individuals to request to join (requires leader approval).
    • Allow individuals to add themselves (optional limit on group size).

Additional settings include visibility options for members and leaders, profile sharing, and archiving groups without deleting historical data.

 

Important Notes

  • Most groups only need basic settings like name, leader, and properties.
  • Check-In visibility depends on both group and station settings.
  • Archiving retains attendance history and group details.

 

Troubleshooting

  • Issue: Group not appearing in Check-In.
    Solution: Verify Check-In visibility settings and station permissions.
  • Issue: Labels not printing correctly.
    Solution: Review label format and exceptions in group settings.

Q: Can I clone a group to save time?
A: Yes. Use the Clone Group icon to duplicate settings for similar groups.

Q: What happens if I archive a group?
A: Archiving hides the group but retains historical data like attendance.

Q: How do I control who sees group members?
